We are looking for an experienced Banquet Events Coordinator, who is a dynamic leader with the ability to motivate others, to join our team. The Banquet Events Coordinator is responsible for planning, organizing, and overseeing all events and conferences held at the hotel. This role ensures the successful execution of events by coordinating with clients, vendors, and hotel staff, while maintaining high standards of service and maximizing profitability.
Main Responsibilities:
- Serves as the primary point of contact for clients, understanding their needs and expectations, and provides personalized service throughout the planning and execution phases
- Manages customer relationships through drafting proposals and contracts, responding to customer inquiries, as well as organizing arrangements as they relate to events e.g. setting up and executing all events
- Coordinates all logistical aspects of events, including room setups, AV requirements, catering, and accommodations
- Communicates with clients to ensure details for events are accurate and complete on a timely basis
- Exercises decision-making skills to ensure customer satisfaction and hotel profitability
- Develops and implements creative and innovative event designs and execution strategies to maximize hotel revenue and utilization
- Ensures events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy
- Updates software with event information and customer communication
- Details, organizes, and distributes Banquet Event Orders (BEO’s) and all other pertinent information necessary
- Provides direction and information of meeting and/or catering logistics and coordinating room bookings for the Banquet Manager and Manager of Operations
- Completes administrative duties including organizing files, distribution, collects faxes, etc.
- Listens and extends assistance to resolve conflicts such as price conflicts, menu descriptions, banquet facilities, and seating charts
- Identifies operational challenges with the client and determines how to best work with the employees and client to solve the challenges and/or develop alternative solutions
- Communicates all special needs/requests to the responsible employees to ensure completion of requirements
- Fully knowledgeable of the meeting/function space
- Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill
Qualifications, Skills & Attributes:
- Extensive experience in event planning in a multi-function facility
- Minimum 5 years experience catering/sales and/or event planning experience in a hotel environment or several years managing multi-function venues
- Must have a strong understanding of food and menu creation
- Must have strong negotiation and closing skills
- Must have sales experience, including negotiation skills and the ability to upsell
- Must be customer service oriented
- Must have excellent communication and interpersonal skills
- Must be self-motivated, detail oriented, strong organizational skills and problem solving skills
- Strategic thinker with the capacity to handle complex situations and make informed decisions
- Bachelor’s degree or diploma in hotel/hospitality management or event planning, Business Administration, or a related field is considered an asset
